Use metadata

Metadata can be used to classify documents and is displayed in the properties of a document.

With the Designer role, you can view the details of a document.

Procedure. Procedure
  1. Click Application launcher Application launcher > Documents Documents.

  2. Navigate to the group containing the required document.

  3. Click the group. The document is displayed in the content area.

  4. Click the name of the document.

The properties are displayed.

With the Designer role, you can rename a document.

Procedure. Procedure
  1. Click Application launcher Application launcher > Documents Documents.

  2. Navigate to the relevant folder.

  3. Click the name of the document. The Document details page opens.

  4. Click Edit Edit.

  5. Enter the new name in the File name box.

  6. Click Save.

The name is changed.

With the Designer role, you can display the links of a document, for example, the ARIS Advanced models in which the document is used.

  1. Click Application launcher Application launcher > Documents Documents.

  2. Navigate to the relevant folder.

  3. Click the name of the document. The Document details page opens.

  4. Click Relations.

The relations of the document are displayed.

With the Designer role, you can display the history of a document. If a document is changed and uploaded again, a version history is created automatically.

  1. Click Application launcher Application launcher > Models and objects Models and objects.

  2. Click Documents.

  3. Click the name of the document. The Document details page opens.

  4. Click History.

The history of the document is displayed. All changes to the document such as changes to metadata, locking, unlocking, and the uploading of a new version are displayed.

With the Designer role, you can restrict the view to those users or user groups who have access privileges for the selected group.

  1. Click Application launcher Application launcher > Documents Documents.

  2. In the navigation, click the arrow next to ARIS document storage.

  3. Click the relevant folder, and click the arrow to open the menu.

  4. Click More More.

  5. Click Properties Open properties.

  6. Click Access privileges.

  7. Click Users or User groups.

  8. Enable Show assigned users.

Users or User groups who have access privileges for the selected folder are displayed.
